Welcome email examples for small businesses

Welcome email examples for small businesses

The hardest part of a welcome email is staring at a blank screen. So here are real, ready-to-use examples for common small businesses. Copy one, swap in your details, and you’re done. Each is short on purpose, that’s what makes welcome emails work.

Salon or barber

Subject: Welcome, glad you found us

Hi [name],

Thanks for signing up. We’re a small studio on [street] doing cuts and colour that actually suit you, no rushed appointments, no upselling.

See you soon, [Your name]

Café or restaurant

Subject: A warm welcome (and what’s good this week)

Hi [name],

Lovely to have you on the list. We bake fresh every morning and we’ll only email when there’s something worth knowing, a new seasonal dish, a quiet table, the occasional treat.

This week we’re especially proud of [dish].

Come hungry, [Your name]

Shop or e-commerce

Subject: Welcome, here’s what we’re about

Hi [name],

Thanks for joining us. We’re a small shop focused on [what makes you different]. Expect the occasional email about new arrivals and offers, never spam.

Freelancer or service business

Subject: Thanks for reaching out

Hi [name],

Great to connect. I help [who you help] with [what you do]. I’ll send the occasional note with useful tips and the odd update on availability.

If you’re curious about working together, just reply to this email, I read every one.

How to make these your own

  • Use a real name in the sign-off. “The team” feels distant; a person feels human.
  • Pick one next step, booking, browsing, or replying, and make it obvious.
  • Set expectations for how often you’ll email. It builds trust and cuts unsubscribes.
  • Keep it short. If it fits on a phone screen without scrolling much, you’re on the right track.

Send it automatically

Once you’ve picked an example and made it yours, you can have it sent to every new subscriber automatically, see how to set up an automatic welcome email. For more on the writing itself, read how to write a welcome email.
